HNTB Document Controls Specialist II - GHIB Project in Sterling Heights, Michigan

This opportunity entails being responsible for performing routine document controls assignments requiring basic knowledge of document controls principles. Administers the document lifecycle for engineering and construction documents. Defines standards and workflows for document management as well as leads the collection, authoring, publication, storage and retrieval of documents.

The Document Control Specialist will work directly with project quality staff to review GHIB closeout packages for compliance with Inspection and Test Plan (ITP) requirements for that particular package. This includes reviewing material documentation, inspection reports, test reports, certifications, and other quality records. Feedback will be provided to project quality staff as to the completeness of the package and what items are required to complete the package per the ITP for that location. The documentation processed is of technical nature, and the Document Control Specialist will be expected to learn industry techniques and terminology in order to best support the project team and administer the files. Upon hire, the Document Control Specialist will be expected to successfully complete MDOT's FieldManager and Office Technician training and certification courses. This training is provided at no cost to the employee.

What You'll Do:

  • Administers the collection, authorization, publication, storage, retrieval and retention of documents to ensure control and availability of documentation to site personnel.

  • Administers the document controls strategy, systems, and policies and procedures including but not limited to the authoring, approval, publishing, version control and archiving of all project or program related documents.

  • Maintains the electronic project record files. Copies and scans documents as needed to perform distribution and storage duties.

  • Prepares records for inactive storage according to the Records Retention Schedule.

  • May assist in providing training to project personnel regarding document control and record retention policies, procedures, and project management system use.

  • Performs and/or supports regular audits of document controls processes and procedures.

  • Performs other duties as assigned.

What You'll Need:

  • Associate's degree in relevant field and 3 years of relevant experience, or

  • In lieu of degree, 5 years project controls, document control, and/or technical administrative support experience

What You'll Bring:

  • Ability to think in a detailed and structured way

  • Ability to be systematic and learn the industry being supported.

What We Prefer:

  • Previous experience in infrastructure construction or program management

  • Excellent communication skills and ability to work in a team environment

  • Must be self driven with a focus on personal accountability
